Medical Affairs CRM Operations Project Manager, International Japan Location: Barcelona, ESP Reports To: Head of Medical Affairs Business Strategy Operational Excellence, International Japan This is what you will do: The Medical Affairs CRM Operations Project Manager, International Japan will drive excellence in process related medical affairs activities, moving the organization toward an environment of less complexity and enhanced operational efficiency across data and analytics, supporting multiple Medical Affairs Capabilities. This role is both strategic and operational. The candidate will be accountable for partnering with the International/Japan Medical Excellence Leadership, Global Digital Innovation Data Generation (DIDG), and Medical Affairs IT groups to deliver on Alexion CRM projects related to Field and Patient CRMs. This position will provide overall business analyst support including management of scope, administration of the platform, capturing and communicating business requirements for improvements and enhancements that can be understood by technical teams, communicating technical limitations to business teams, reviewing and/or suggesting solution designs, calling out risks, and following up on any compliance elements. The business analyst will work with multiple partners as well as Alexion stakeholders, to develop and manage an CRM capabilities that drives project execution across multiple workstreams. This position will provide guidance, execution, delivery, training, and communications of Qlik, Power BI and other analytics platforms and data capabilities for the International Japan Field MSL teams. they proactively enhance processes to optimize and measure the value created by GMA. They will have a critical role in the advancement of analytics strategy. They will be responsible for overall project management across business and technical teams. The position works closely with business and technical teams as an expert that understands and communicates both the business asks and technical solutions. This is a hands-on business analyst role working across internal partners on Medical Affairs projects impacting Alexion’s stakeholders. You will be responsible for: + Prepare and communicate Strategic Medical Affairs data including periodic tactical plan performance and finance performance reports for Country Affiliate Medical teams and Regional Medical Leadership + Manage and improve International Medical Affairs tools and channels for the management and decemination of regional strategic information + Conceptualize, scope, plan, design, execute, deploy Qlik, Power BI and other data and visualization platform product development in medical efforts to streamline work and optimize analytics + Development of integrated data and platforms related to/from VeevaCRM, Smartsheets, etc, to streamline reporting experience and reduce manual burden + UAT, Story board building, training, socialization, communications, and improvements related to reporting capabilities (cross-functional teams and leadership) + Manage timelines and expectations from cross-functional teams and stakeholders + Concept, building, and management of governance structures for multiple data analytics and platforms + Translate technical details to business teams and business needs into technical requirements + Defining configuration specifications and business analytics requirements + Help design and document system processes + Constantly be on the lookout for ways to improve monitoring, discover issues and deliver better value to the customer + Keeps user experience in the forefront of all user facing projects. Work with technical and business teams when developing technologies and communication plans to provide an optimal end user experience + Ensure that assigned project(s) are conducted in compliance with all department standards, processes, policies, and guidelines + Project Management and Operational responsibilities, such as data management and administration, updates related to Affiliate associate onboarding, offboarding, territory maintenance, and overall data availability and integrity + Escalates project commitment concerns and risks to senior management, propose action plans and lead implementation. + Maintains close contact with country teams to have deep understanding and knowledge of real need and propose meaningful action plans, obtain updated information on projects status, and ensure greater adherence to project planned deliverables. + Communicates projects progress, processes changes and global guidance and ensure aligned knowledge across the region enabling compliance with established standards. + Develops and continuously maintains the highest expertise with all projects and is acknowledged internally as an expert in this area. + Coordinate regular internal meetings that are well planned, agenda driven, professionally facilitated, and tracked through formal notes and action items You will need to have: + 3+ years of experience within the biopharma/healthcare technology industry + 3+ years of experience developing analytics platforms + BA/BSc or MA/MSc (business-oriented, data science, computer science) + Experience/exposure in digital product development self service reports, with the ability to liaise with stakeholders and vendors to design and implement digital solutions with these strategies + Experience with building and leveraging integrated systems with VeevaCRM (eg. Salesforce, VeevaMedComms/Promomats, BI, VeevaLink, and training applications like Qlik, WalkMe, VeevaVault, etc) + Experience with CRM Territory hierarchy management / Veeva Align solution + Ability to design and deliver workshops that engage relevant cross-functional internal teams + Demonstrated ability to implement projects of strategic importance on time and on budget + Foresight and judgment in making complex decisions, independently when needed + Critical analysis and problem solving skills, with the ability to apply these skills pragmatically + Meeting facilitation skills (personal organization, advanced preparation, and follow-up) + Strong ability to manage multiple projects across functional areas, and work independently when appropriate, in teams and as a sub-team lead, and drive projects to meet objectives in a timely manner + Exhibits excellent project management and planning skills + The duties of this role are generally conducted in an office environment. It will be nice if you have: + Graduate Degree (MS, PhD, MBA) + Project Management certifications + Veeva/Salesforce certifications + Six Sigma Certification + Experience with agile methodology, Scrum + Understanding of medical affairs organizations and their role within biopharma companies and the broader industry strongly preferred + Specific experience with pharmaceutical, medical device, product, and/or indication launches + Experience managing global projects with team members in multiple locations + Experience in different regions (continents) is appreciated (Latam, Asia, Europe).
